Overview

This Refund & Fulfillment Policy outlines the terms under which the parent company Fyrefly Group, LLC dba Whole Practice Studio provides services, delivers products, and handles refunds.

By purchasing any product or service, you agree to this policy.

Services (Consulting, Strategy, Coaching)

FULFILLMENT

Services are considered fulfilled when:

  • A scheduled session has been completed, or

  • Strategic recommendations, deliverables, or access to services have been provided

REFUND POLICY
  • All consulting and service-based purchases are non-refundable

  • Missed or unused sessions are non-refundable

  • If a session is canceled with proper notice (see Section 5), it may be rescheduled

Digital Products

FULFILLMENT

Digital products are considered fulfilled immediately upon:

  • Purchase

  • Delivery via download, email, or access to a platform

REFUND POLICY
  • All digital products are non-refundable

  • Due to the nature of digital content, we do not offer returns, exchanges, or cancellations

SaaS Services (Software Access & Subscription Billing)

FULFILLMENT

Saas (Sofware-as-a-Service) offerings provided through us (including platforms powered by Salesforce, HubSpot, GoHighLevel, etc.) are considered fulfilled when:

  • Access credentials are issues, and/or

  • The client is granted access to the software platform, sub-account, or related systems

Fulfillment may include initial setup, onboarding, or configuration depending on the service purchased.

BILLING & SUBSCRIPTION TERMS
  • SaaS services are billed on a recurring basis (monthly or otherwise agreed)

  • By purchasing, you authorize ongoing subscription charges until canceled

  • Billing cycles are not prorated unless explicitly stated

SCOPE of SaaS SERVICES

SaaS services provided by Fyrefly Group include access to software platforms and may include setup, configuration, or onboarding as defined in the specific offer.

Unless explicitly stated, SaaS subscriptions do not include:

  • Ongoing customization

  • Continuous support

  • Strategy or Consulting services

Any additional services must be purchased separately.

DATA RETENTION & DELETION

Upon cancellation or termination of SaaS services:

  • You are responsible for exporting or backing up any data prior to the end of your billing period

  • Access to your account may be removed after the end of your active subscription

  • The Company does not guarantee any data retention beyond the active service period

  • Data deletion may be permanent and irreversible

We are not responsible for any loss of data following cancellation or termination of servies.

REFUND POLICY
  • All SaaS subscription fees are non-refundable once a billing cycle has begun

  • No refunds will be issues for:

    • Partial billing periods

    • Unused time

    • Failure to use the platform

CANCELLATION
  • You may cancel your subscription at any time prior to the next billing cycle

  • Cancellation will take place at the end of the current billing period

  • You will retain access until the end of the paid term

Programs, Packages, or Bundled Offers

FULFILLMENT
  • Fulfillment begins upon first session or access to materials

REFUND POLICY
  • Packages are non-refundable once initiated

  • Unused portions are not eligible for refund

Scheduling, Rescheduling & Cancellations

RESCHEDULING
  • Clients must provide at least 24 hours' notice to reschedule a session

  • Rescheduling is subject to availability

LATE CANCELLATIONS/NO-SHOWS
  • Sessions canceled with less than 24 hours’ notice may be forfeited

  • No-shows are considered fulfilled and are non-refundable

Payment Terms

  • Payment is due at the time of purchase unless otherwise agreed

  • Failure to complete payment may result in denial of service

Chargebacks & Disputes

By purchasing, you agree not to initiate chargebacks without first contacting us.

If a chargeback is initiated:

  • We reserve the right to provide proof of agreement to this policy

  • Access to services or products may be revoked

Exceptional Circumstances

Refunds may be considered in rare cases at our sole discretion, including:

  • Technical issues preventing access

  • Duplicate charges

Any approved refund will be processed using the original payment method.

Delivery of Services

We aim to deliver all services in a timely manner.
However timelines may vary based on:

  • Client responsiveness

  • Scope of work

  • Scheduling availability
